A <strong>shared calendar<\/strong> is a practical alternative for a small shared space, particularly when you use a personal Google account. Both need a clear booking method and appropriate permissions. Naming an ordinary calendar \u201cConference Room\u201d does not turn it into a Workspace directory resource.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the room already appears in your organization&#8217;s <strong>Add rooms<\/strong> list, use it rather than creating another shared calendar for the same space. Appointment scheduling, which lets people book time with you through a booking page, serves a different purpose from choosing a physical office room.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Set up a shared calendar for a room<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Create the calendar and choose how bookings arrive<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Use Google Calendar on a computer. Google says shared calendars cannot be created from the Calendar mobile app.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Next to <strong>Other calendars<\/strong>, select <strong>Add other calendars > Create new calendar<\/strong>.<\/li>\n\n\n\n<li>Enter a name people can match to the physical space, such as \u201cOffice \u2014 Meeting Room 1,\u201d and add a useful description.<\/li>\n\n\n\n<li>Select <strong>Create calendar<\/strong>.<\/li>\n\n\n\n<li>Under <strong>My calendars<\/strong>, open the calendar&#8217;s menu and select <strong>Settings and sharing<\/strong>.<\/li>\n\n\n\n<li>Share it with the intended users. For an invitation-based workflow, Google&#8217;s instructions refer to users with permission to view all event details.<\/li>\n\n\n\n<li>Under <strong>Auto-accept invitations<\/strong>, choose <strong>Auto-accept invitations that do not conflict<\/strong> if you want the calendar to process requests against availability.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Google&#8217;s <a href=\"https:\/\/support.google.com\/calendar\/answer\/44105?hl=en\" rel=\"noopener\">shared-space calendar instructions<\/a> also list <strong>Automatically add all invitations to this calendar<\/strong> and <strong>Do not show invitations<\/strong>. These choices have different behavior. Verify the exact workflow your team will use.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Set up a room resource in Google Workspace<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Register the physical room<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An administrator with the <strong>Buildings and resources<\/strong> privilege performs the resource setup. Prepare a distinct room name, building, floor, capacity, and the equipment actually available in the space. Add the relevant building and features before assigning them to rooms.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a new enclosure, compare B&amp;H Ergonomics <a href=\"https:\/\/bhergonomic.com\/en_gb\/product-category\/meeting-pods\/\">meeting pod models<\/a> against the intended meeting size and layout. Register the selected pod with its actual capacity and equipment. B&amp;H pods do not include a built-in booking system; your organization manages Google Calendar separately.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Follow Google&#8217;s <a href=\"https:\/\/knowledge.workspace.google.com\/admin\/calendar\/create-buildings-features-and-calendar-resources?hl=en\" rel=\"noopener\">building and resource setup instructions<\/a>:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>In the Admin console, go to <strong>Directory > Buildings and resources > Overview<\/strong>.<\/li>\n\n\n\n<li>In <strong>Resource management<\/strong>, select <strong>Open<\/strong>.<\/li>\n\n\n\n<li>Select <strong>Add<\/strong>.<\/li>\n\n\n\n<li>Enter the resource information and choose <strong>Conference room<\/strong> for a meeting space.<\/li>\n\n\n\n<li>Select <strong>Add Resources<\/strong>.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Google says new resources are usually available within a few minutes, but in some cases can take up to <strong>24 hours<\/strong> to appear in everyone&#8217;s calendar. From the resource&#8217;s <strong>Settings and sharing<\/strong>, configure who can access it and how invitations are handled.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For ordinary reservations that should respect existing bookings, select <strong>Auto-accept invitations that do not conflict<\/strong>. Google&#8217;s resource documentation says this setting also rejects requests from users without the necessary access permissions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Do not select <strong>Automatically add all invitations to this calendar<\/strong> as a way to fix rejected bookings. That setting can add overlapping invitations and can allow users without the necessary permissions to schedule the resource. Resolve the permission or availability problem instead.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Book the room as an employee<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Use your work or school account in Google Calendar on a computer:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Create an event and enter the date, start and end times, and attendees.<\/li>\n\n\n\n<li>Select <strong>Add rooms<\/strong> or <strong>Add room booking<\/strong>.<\/li>\n\n\n\n<li>Search for or select the room resource you need.<\/li>\n\n\n\n<li>Check availability and select <strong>Save<\/strong>.<\/li>\n\n\n\n<li>Open the saved event and check the room&#8217;s acceptance status.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Google&#8217;s <a href=\"https:\/\/support.google.com\/calendar\/answer\/143753?hl=en\" rel=\"noopener\">room-booking instructions<\/a> require a work or school account for this room-resource workflow. Typing a room name into a location field does not replace adding the resource. Google&#8217;s <a href=\"https:\/\/knowledge.workspace.google.com\/admin\/calendar\/share-room-and-resource-calendars?hl=en\" rel=\"noopener\">resource-sharing documentation<\/a> distinguishes these access levels and explains the invitation settings used in this guide:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><thead><tr><th>Permission<\/th><th>What it lets a user do<\/th><th>Appropriate use<\/th><\/tr><\/thead><tbody><tr><td><strong>See only free\/busy (hide details)<\/strong><\/td><td>View availability and book through their own events <strong>if the organization allows free\/busy resource booking<\/strong>.<\/td><td>Ordinary booking when meeting details should stay hidden.<\/td><\/tr><tr><td><strong>See all event details<\/strong><\/td><td>Book through their own events and view details, without directly modifying other users&#8217; events on the resource calendar.<\/td><td>Booking when details can be shared, or when free\/busy resource booking is not enabled.<\/td><\/tr><tr><td><strong>Make changes to events<\/strong><\/td><td>View details, including private-event details, and modify any event.<\/td><td>A designated room coordinator who needs that access.<\/td><\/tr><tr><td><strong>Make changes and manage sharing<\/strong><\/td><td>Modify events and change sharing settings.<\/td><td>The person responsible for managing the calendar.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">If someone can see busy\/free blocks but cannot book, check the organization&#8217;s <strong>free\/busy resource booking<\/strong> setting before giving them editing rights. Google says the resource must be shared with at least <strong>See all event details<\/strong> when free\/busy booking is not allowed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Review general access and individual sharing together. Confirm the date and time zone, especially when users work in different locations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Google&#8217;s <a href=\"https:\/\/support.google.com\/calendar\/answer\/16107253?hl=en\" rel=\"noopener\">room-decline guidance<\/a> explains that changing an event&#8217;s time releases the original room booking and attempts to reserve the room again at the new time. That attempt can fail. Recheck the room&#8217;s response after moving a meeting.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The same guidance says a room decline normally emails the organizer, but <strong>events on a secondary calendar do not generate that email notification<\/strong>. Check the room&#8217;s status inside the event rather than relying only on your inbox.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">A recurring series has conflicting dates<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">With <strong>Auto-accept invitations that do not conflict<\/strong>, Google&#8217;s resource-sharing rules allow a recurring series only when conflicting instances are <strong>no more than eight and no more than half of the series<\/strong>. An accepted series can still have individual dates declined because the room is unavailable.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, in a four-week series with one conflicting date, the conflict count is within both limits. Under this conflict rule, the available dates can be accepted while the occupied date is declined. A four-week series with three conflicting dates exceeds the half-series limit. An accepted series is not a guarantee that every occurrence has a room.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Google&#8217;s room-booking instructions also limit conflict checking to <strong>12 months ahead<\/strong>. Events and recurring instances beyond that window are not checked for room conflicts.
