This is first-party planning evidence, not a randomized academic study. The value of the review is practical: it shows why one office-wide ratio can produce the wrong product mix, even when the total number of pods looks reasonable.

Correction to the Earlier 1:5 “Golden Ratio”

An earlier version of this article presented one pod per five desks as an optimal benchmark for a standard hybrid office. B&H Ergonomics no longer treats 1:5 as a universal recommendation.

The shorthand was too broad for three reasons:

  1. It combined phone booths, work pods, and meeting pods even though they solve different problems.
  2. It used desk count as the main denominator even when hybrid attendance made many desks unoccupied on a typical day.
  3. It did not show how call-heavy, focus-heavy, and collaboration-heavy teams should be adjusted differently.

A ratio can still be useful, but only after the buyer defines the pod type, the peak on-site population, and the work demand the pod must absorb.

Why Peak On-Site Headcount Is a Better Starting Point Than Total Desks

Office pods serve people who need privacy at the same time. A company may have 100 assigned desks but only 55 people present on a common busy day. Planning pod quantity around all 100 desks can overstate demand. Planning around a quiet average day can understate it.

Use a common peak on-site headcount: the number of people usually present during a busy, repeatable period rather than the single busiest event of the year. Always round the result up. A calculation of 2.2 phone booths means three booths, not two.

Worked Example: A 60-Person Peak Office

Assume a hybrid workplace has 95 employees, 80 desks, and 60 people on-site during a common busy day. The team has regular video calls, moderate focus demand, and frequent small meetings.

The total is approximately one pod for every 7.5 people present, but that combined ratio is less useful than the mix itself. Four phone booths, two meeting pods, and two work pods will behave very differently from eight units of one pod type.

If the same 60-person office is dominated by software engineering or other deep-focus roles, the work-pod calculation may move from 60 ÷ 35 to 60 ÷ 25, producing three work pods instead of two. If outbound calls dominate the day, the facility team should increase phone booths first rather than adding unrelated pod capacity.

Five Findings That Matter More Than One Headline Ratio

1. The denominator changes the answer

Total employees, assigned desks, average attendance, and peak attendance are not interchangeable. For shared privacy spaces, common peak attendance is usually the most useful starting denominator because it represents people who may compete for the same spaces at the same time.

2. Pod categories cannot be pooled without losing meaning

A phone booth supports short private calls. A work pod supports longer solo sessions. A meeting pod supports small-group collaboration. Reporting eight “pods” without stating the mix hides the operational result.

3. Department labels are weaker than observed work patterns

Sales and recruiting teams often create more call demand, while engineering and writing teams may create more focus demand. However, the label alone is not enough. Two teams with the same name can use the office differently.

4. A combined ratio is useful only as a summary

In the 60-person example, the combined result is one pod per 7.5 people present. That number is suitable for a short summary, but the underlying mix of four phone booths, two work pods, and two meeting pods is what makes the benchmark actionable.

5. The benchmark should be revised when real use disagrees

Visible queues, unsuccessful bookings, solo use of large conference rooms, unusually long sessions, or consistently unused pods are all evidence that the starting assumptions need to change. Utilization can be measured without recording the content of calls, meetings, or confidential work.

Methodology Limits

Use these benchmarks with the following boundaries:

  • The review is based on B&H Ergonomics client planning records, so it is not a random sample of every workplace.
  • The public summary does not provide a standardized breakdown by country, industry, office size, or return-to-office policy.
  • Client identities and original floor plans are not published.
  • Reported occupancy or usage behavior may be affected by placement, booking rules, comfort, office culture, and product mix.
  • The benchmarks do not replace local building, accessibility, fire, electrical, or facility review.
  • The ratios are not acoustic performance claims and do not guarantee privacy, availability, productivity, or return on investment.

These limitations do not make the data unusable. They define the correct use: an informed starting model that should be tested against the buyer’s actual workplace.
